Job Description

You will be supporting the Project Manager/Engineer to provide administrative assistance in delivering projects on time, within specified cost and schedule. Your responsibilities will include: - Developing and maintaining detailed work schedules of the peer coordinators. - Providing a unified communication channel between leadership, project teams, and operations teams. - Mentoring and developing peer coordinators and any new hires on their day-to-day job responsibilities. - Offering constructive feedback regularly to support continuous improvement. - Coordinating among all functional teams and shared services to ensure project completion. - Providing timely updates to the management about the process and progress. - Maintaining all documentation relevant to the project, including SoW documents, change requests, schedules, risk register, etc. - Preparing and maintaining documents like project progress reports, invoices, budget, timesheets, project team deputation records, Project KPI's, etc. - Working on arrangements, clearances, project team mobilization/demobilization, travel-related tasks. - Managing inventory/asset list of all non-human resources, issue register, transit documentations. - Raising purchase requisitions for purchases and suppliers/vendor services to satisfy projects. - Performing various tasks assigned on projects or related to operations. - Supporting the project manager in planning, control and implementation of assigned projects. - Administering the relevant project database. - Conducting regular project control meetings. - Maintaining regular and effective communications with clients to develop client/contractor relationships. - Understanding project-specific contractual terms and conditions. Qualifications: REQUIRED - Graduate in engineering or Postgraduate. - Minimum industrial experience of 6 years, out of which minimum 3 years of relevant project development, project finance, or equivalent experience is required. - Working knowledge of Project Management aids/applications as well as basic Microsoft applications. DESIRED - Project Management qualification/certification. - Working knowledge of PeopleSoft, MS Office 365, Word, Excel, Powerpoint, and Sharepoint. You should possess the following knowledge, skills, abilities, and characteristics: - Intermediate or Expert level knowledge on Project management or scheduling software (e.g. Primavera, MS Project, etc.). - Working knowledge of Microsoft Office Suite, with intermediate to advanced Excel skills, Peoplesoft ERP, etc. - Relevant experience of effectively supporting project teams. - Ability to communicate effectively. - Ability to communicate/work with a multi-cultural team of technicians and engineers for projects. - Ability to write accurate and concise communications. - Ability to work independently in most circumstances and use initiative to propose and implement changes to work practices. - Self-Driven, positive attitude. - Strong Analytical, problem-solving & decision-making skills. - Strong organizing and Planning Skills.
